Hiring operations, unified for executive search and TA teams

Your best candidate is already in your database.

Fortemap AI is Assisted Intelligence for executive search. It searches everyone you have mapped before any AI runs, then scores the shortlist with reasons you can defend to a client. You make the call.

Built with Gallop Research for executive search firms and talent teams.

Every hire is a search. Run it like one.

An applied AI initiative for hiring

We start with the recruiter's week and work backwards

Fortemap began with one question: which hiring tasks take hours and need very little judgment? Parsing, matching, status updates, reminders and paperwork came top of the list. Fortemap handles those, and its agents take on the busywork around them, so recruiters and TA partners can spend their time with candidates and clients.

What we heard

The hiring asks that came up in every session

Partners, researchers and TA leads described their problems in different words. Underneath, the same requests kept returning.

Executive search

Keep a confidential search confidential

A retained mandate can involve a sitting executive, a board that has told nobody, and candidates who are not looking. Partners wanted access set per mandate and a client view that shows that client's shortlist and nothing else.

In FortemapRole-based access per mandate, a scoped client portal, and an audit log of every action.
In-house TA

Get hiring managers to reply

TA partners said feedback is where requisitions stall. Hiring managers do not want another login. They want a short list, a profile they can read on a phone, and a single place to say yes or no.

In FortemapA hiring manager portal with shortlists, scorecards and feedback, plus alerts when a candidate sits idle.
Both

Use AI without paying for noise

Running a model over every CV is slow and costs money, and a score nobody can explain is hard to put in front of a client. Recruiters asked the system to search what they already know first.

In FortemapThe Identification Bucket shortlists from your database for free. AI scores only that shortlist, and shows its reasons.

Snehasis Sen Founder, Gallop Research

Snehasis has run executive searches for more than 15 years. He opened Gallop Research's live mandates to our product team and brought that experience into every part of Fortemap's design.

Gallop Research runs senior, relationship-led searches. Snehasis and his team of recruiters and documentation specialists worked with our product team from the first prototype. They took us through live mandates, showed us the spreadsheets and email threads that held each search together, and told us plainly which of our ideas would not survive a real client.

We then checked what we learned against in-house TA workflows, where the roles are different but the handoffs look familiar: a brief, a long list, a shortlist, a hiring decision, and a lot of chasing in between.

02 · MAPRecorded each handoff, document and tool switch

From artificial to assisted

How we turned artificial intelligence into assisted intelligence

Much of the AI sold to recruiters is built to act on its own: screen people out, rank a pool without saying why, write to candidates unprompted. When we tested ideas like these against live searches at Gallop Research, the recruiters asked for something else. They wanted help with the preparation and full control of the decision. Fortemap is built that way.

How Assisted Intelligence works
QuestionTypical "artificial" approachAssisted, in Fortemap
Where does AI start?A model scores every applicant.System Match searches your own database first, at no cost. AI scores only the shortlist.
What comes back?A number.A 0–100 score with the skills, experience and gaps behind it, plus points to check before presenting.
Who decides? The ranking filters people out.A recruiter or hiring manager moves every candidate. AI never rejects anyone.
What about documents?Generic generated text.Drafts built from the candidate record in your firm's template, read by a person before they are sent.
How is it charged?A per-seat AI fee, used or not.Pay as you go, per operation, in real currency. Nothing is charged when no model runs.

Under the hood

Built in layers, so each one can be trusted on its own

Data sits at the bottom. Matching runs on that data without AI. Models are called only on top of that, and access rules wrap all of it.

Workflow and process automation

Status changes, reminders and paperwork that run on their own

Recruiters lose hours every week keeping records current. Fortemap updates candidate statuses, flags work that has stalled and prepares routine documents from rules you set once.

See workflow automation
Candidates

Statuses that keep themselves current

A candidate moves between New, Under active assignment, Available, Recently hired and Idle as work happens, with time-based rules for each.

Pipelines

Stages and SLAs per role

Use the default pipeline or set custom stages per assignment. SLA flags show which candidates have waited too long at a stage.

Assignments

Closing a role tidies up after itself

When a role is filled, candidates who were not hired go back to Available, ready for the next search.

Alerts

Reminders before things go cold

Idle candidate after 7 days, inactive client after 30 days, interview reminder 24 hours ahead, and a weekly pipeline digest.

Business development

Lead to client in one step

A won lead becomes a client account with its contacts, notes and history carried across.

Documents

Document workflows from templates

Dossiers, submission reports and branded resumes assembled from sections you configure, then reviewed by a person.

Smart job board

A job board of your own that doubles as your careers page

Publish a role from its mandate and it goes live on your branded job board at a public link. Share the post anywhere, or embed the same board on your website as a working careers page. Every application lands in your application inbox, already tied to the hiring mandate.

  • Your branding on a public job board, with no separate careers-site tool to buy
  • A shareable link for every job post
  • One embed turns your agency or company website into a live careers page
  • Applications parsed, deduplicated and filed against the right mandate

Who it's for

Recruitment teams with different jobs to do

For retained, confidential and board-level searches

Executive search depends on long memory. The candidate you place this year may be someone you first spoke to three years ago. Fortemap keeps that history searchable and keeps each client's view limited to their own search.

Executive search in Fortemap
  • Talent mappingA long-term pool of mapped executives, searchable by sector, function and level.
  • Confidential accessDecide who on your team and on the client side can see each mandate.
  • Client reportingShortlists and search progress in a portal the client can check at any time.
  • Candidate dossiersDrafted from the record in your firm's layout, reviewed before sending.
  • AssessmentInterview scorecards that stay comparable across a long, multi-stakeholder process.

For corporate talent acquisition and hiring managers

Internal hiring slows down at the handoffs between recruiter and hiring manager. Fortemap gives managers a simple place to review candidates and gives TA leads a live view of which roles are stuck.

In-house TA in Fortemap
  • Hiring manager portalShortlists, profiles and one-click feedback, with no training needed.
  • Smart job boardA branded job board that also works as your careers page, with applications routed to each requisition.
  • Structured interviewsShared scorecards so every interviewer rates against the same criteria.
  • Pipeline healthSLA flags, time-to-fill and a weekly digest for TA leadership.
  • Access controlRecruiters, managers and admins see only what their role allows.

For specialist agencies and RPO programmes

Agencies need business development and delivery in the same place. RPO teams need to run several client programmes without mixing data. Both are handled in the same workspace.

  • Multi-client pipelinesSeparate client portals and permissions on a shared database.
  • Smart job boardShare every job post and embed the board on your agency website. Applications land in the mandate's inbox.
  • Bulk parsingUpload a folder of CVs and get structured, deduplicated profiles.
  • Team reportingPlacements, pipeline volume and revenue per client, by recruiter.

Fortemap Agents

Agents that only see what you allow

Fortemap Agents take on the work around a search: reading the right emails, booking interviews, taking in applications and drafting client updates. Each one works through a connector with access you define, removes personal details before any AI model sees them, and waits for a person before anything is sent.

  • Scope rules decide which messages an agent may open
  • Only the fields a task needs are passed to the AI model
  • Every action is logged, and nothing is sent without approval

Comm Agent

Reads only in-scope email in Gmail or Outlook, logs it to the right record and drafts replies.

Questions

Common questions about Fortemap

Short answers. Each links to a page with more detail.

What is Fortemap AI?

Fortemap AI is Assisted Intelligence for executive search and talent acquisition: a recruitment CRM, applicant tracking system and client portal in one web application, with AI that prepares the work while people decide. It covers business development, candidates, roles, pipelines, client and hiring manager feedback, documents and reporting. It is built by Fortixa Innovations.

Who is Fortemap for?

Executive search firms running retained or confidential searches, in-house talent acquisition teams working with hiring managers, and recruitment agencies and RPO providers running several clients at once. See executive search, in-house TA and agencies and RPO.

How does Fortemap use AI?

AI parses resumes and job descriptions, scores shortlisted candidates against a role with written reasons, and drafts documents such as candidate dossiers. It never rejects a candidate or sends messages on its own. A person makes every decision. More on Assisted Intelligence.

What is the Identification Bucket?

The Identification Bucket is the list of existing candidates in your database who match a role. It is filled by System Match, a skill-overlap score that does not use AI and costs nothing. AI scoring is applied only to candidates you choose from it.

Does Fortemap include a job board?

Yes. Each workspace gets a branded public job board. Publish a role from its mandate, share the post by link, or embed the board on your own website as a working careers page. Applications go straight into the application inbox, linked to the right mandate. More on the smart job board.

What are Fortemap Agents?

Fortemap Agents are task-specific agents inside Fortemap. Each works through a connector, such as Gmail or Outlook, with access limited by rules you set. They remove personal details before any AI model sees data, log every action and wait for a person to approve anything that is sent. The Comm Agent is in beta. More on Fortemap Agents.

Does Fortemap integrate with other systems?

Yes. Gmail and Outlook connectors are available now, with Slack, Microsoft Teams, calendars and job boards coming. There is a REST API, and our team builds custom integrations. See connectors.

How much does Fortemap cost?

One plan at USD 449 per month, with 5 user seats, unlimited clients and 50 GB storage. AI is pay as you go, charged per operation. The 7-day free trial includes AI usage worth up to USD 10, rising to USD 30 if you subscribe within the trial. Client portal users are free. See pricing.

What was Gallop Research's role?

Gallop Research is an executive search firm. Its partners, recruiters and documentation team worked with our product team from the first prototype, walked us through live mandates and tested releases on real searches. Meet the Gallop Research team.

How is candidate data protected?

Data is encrypted in transit and at rest, each customer's workspace is isolated, access is role-based and every action is written to an audit log. Security and privacy.
